2021 Cornerstone Conclave Delegate Information

Introduction:

Dear Brothers,

The Cornerstone Conclave has in recent years grown into one of the largest section OA gatherings in the United States, and Muscogee Lodge has developed a winning reputation at Conclave. To maintain this tradition, we need an enthusiastic, well-organized, and well-rehearsed team. You are part of that team.

This year Conclave will be held at Camp Daniel Boone, Asheville, NC. The overall theme of this year's Conclave is "True Service Always Lives Inward". Muscogee Lodge's theme will be "Mooscogee". We need your help to represent Muscogee Lodge! We have ordered T-shirts, and many other spirit items but we still need more. There will be a Conclave Workday at the Spring Ordeal and will share more information then. If you have any questions about this, please contact the 2021 Conclave Chairman (TBD).

Annual BSA Health and Medical Record:

We MUST have a current Annual BSA Health and Medical Record  (parts A & B) for each delegate to Conclave. You can download the form HERE. We only need parts A & B of the current (2014) form. This does NOT require a doctor's signature.

Fortunately the National Office is making this easier. The current version of the Annual BSA Health and Medical Record form is a fillable PDF. We would strongly recommend that you fill it in and save a copy on your computer. You can then go in each year and edit the form. This new form also allows for digital signatures.

Please bring your completed BSA Medical Form to the Council office on Friday, 28 April. 

When & Where:

The 2021 Cornerstone Conclave will be held 23-35 April at Camp Daniel Boone. 3647 Little East Ford Road in Canton, North Carolina 28716.

Travel Plans to Conclave:

We are renting two - 15 passenger vans for Conclave!

The vans and other vehicles will leave from the Scout office at 4:30 PM on Friday, 28 April. If you cannot make that time, please e-mail This email address is being protected from spambots. You need JavaScript enabled to view it. and we will try to link you up with others. However, our only coordination is for the van group.

We will need at least four adults to drive the two vans (two adults per van). We will also need additional vehicles to transport the contingent to Conclave. We recognize that leaving at 4:30 PM on a work/school day means Scouts will have to get out of school early and adults will have to leave work early. In order to get to Camp Daniel Boone in time for the Lodge to set up and be ready for the opening campfire we need to be on the road before rush hour traffic. We apologize for the inconvenience but we feel it is necessary to get the majority of the Muscogee Lodge contingent to the Cornerstone Conclave on time. 

Everyone MUST be in full "class-A" uniform during the trip to and from Conclave. No supper will be provided and we do not plan to stop for supper. You should eat before you arrive or bring a bag supper that does not require refrigeration. There will be a "light" cracker-barrel on Friday night.

The group will meet at the Scout office. You may arrive at this location anytime after 3:30 PM and must arrive no later than 4:20 PM. We will depart promptly at 4:30 PM and head to Dixie with an expected arrival time of about 7:00 PM. The Conclave Chairman and Conclave Adviser (Michael Farrell) will be in charge of checking in the group.

Once at Camp Daniel Boone the contingent will have until the opening show at 8:30 PM to get set up and again after the show to finish set up. There will be a mandatory meeting in the campsite at 7:30 PM of all delegates to give delegates their ditty bags, meal cards, spirit items, shirts, etc. We will then go to the show as a group.

Departure from Conclave on Sunday:

We will leave camp immediately after the closing show at approximately 10:30 AM. Unlike previous years we will NOT stop on our way home.

You can't go to Conclave?

Although Conclave fees are not refundable, we may be able to transfer your fee to another Arrowman who wishes to attend, thereby making a refund possible. Likewise, if you know of others wishing to attend Conclave, have them contact Dan Wagner or Michael Farrell and they will be added to the delegation or placed on a waiting list in case such cancellations occur.

Pre-Orders & Conclave Supplies:

If you pre-ordered Conclave supplies (patches, mugs, etc.), there will be two opportunities to pick up your supplies. The first opportunity will be during the Cornerstone Conclave at a time and location announced at the 7:30 p.m. Friday meeting and the second will be on Sunday morning before we leave. You are encouraged to wait until Sunday to pick up your supplies. If you get them during Conclave, you assume full responsibility for anything lost, damaged, or stolen. There will also be a limited number of Conclave supplies available at the trading post at Conclave. Historically, these sell out very quickly, so you are encouraged to make your purchases at your earliest opportunity.

What to bring to Conclave:

You should bring to Conclave the same types of items that you would to any other fellowship. You will need to bring a tent, or arrange to share a tent. No one over 17 may share a tent with anyone under 18 unless it is a parent and their son. Conclave is a uniformed event. Only bring BSA uniforms and clothing except for any clothing that is directly associated with the delegation spirit theme.

Keep in mind also that August is a very unpredictable month for weather. Pack accordingly.

Tents:

Delegates will be camping in personal tents. Please bring a tent or plan to share one with someone else. Of course, youth and adults may not stay in the same tent (except for parent/child). For purposes of housing, "adult" determination is based on the age of 18, as is BSA policy.
